Who owns the paper trail? Why solar installers and retailers must lead on documentation
Australia’s rooftop solar sector has a solar documentation problem, and it is getting harder to ignore. As Industrias co-founder Daniel Lazarus outlined recently in PV Magazine, fewer than 15% of audited systems carry a complete documentation pack, creating a mounting maintenance and safety liability across millions of behind-the-meter assets. The analysis is sobering. But pointing to the gap is only the beginning. The harder question is whose responsibility it is to close it.
The answer, uncomfortable as it may be for some in the industry, is that installers and retailers need to own this.
The handover problem
There is a well-worn pattern in solar installations. A job is scoped, equipment is sourced, installation is completed, the system is commissioned, and the customer is handed a warranty card and perhaps a brief walkthrough of the monitoring app. Then the installer moves on to the next job.
What rarely happens in any consistent, structured way is a formal documentation handover. A complete record of single-line diagrams, inverter configuration settings, commissioning data, and protection parameters, stored somewhere accessible and durable. Somewhere that will still be retrievable when that system needs servicing throughout its life from year 1, to year 25.
The information exists at the point of commissioning. It is generated. It is simply not being systematically captured, stored, and transferred in a way that serves the asset’s full lifecycle.
Professional trades hold themselves to a higher standard
Consider how other licensed trades approach the handover of critical infrastructure. A licensed plumber completing stormwater work provides as-built documentation. A builder completing structural work leaves a paper trail that follows the property. An electrician working on a commercial installation produces certifications retained by both parties and, in many cases, lodged with the relevant authority.
Solar and battery installation is licensed electrical work. It involves critical safety systems attached to people’s homes and connected to the grid. The documentation culture should reflect that weight.
For much of its growth phase, solar retail has operated more like consumer electronics than a professional trade. The incentive structure has been weighted toward volume and price competition, with documentation treated as a back-office afterthought rather than a professional obligation. That posture is increasingly difficult to justify as the installed base ages and maintenance demands grow.

Retailers carry responsibility too
Installers are the obvious focus, but retailers operating at scale across installer networks have significant leverage they are not fully exercising.
A retailer who designs the system, manages the customer relationship, and coordinates the installation sets the standard for what a completed job looks like. Where that standard excludes mandatory documentation deliverables, inconsistency follows. Retailers who care about customer outcomes and long-term reputation have every reason to build documentation requirements into their installation contracts and post-commissioning checklists.
This is also a commercial opportunity. As first-generation systems age and the maintenance market grows, installers and retailers with complete service histories for their installed base will be in a fundamentally stronger position. They will service faster, quote more accurately, and build customer relationships that extend well beyond the initial sale. Not to mention huge opportunities for battery retrofits or system expansions.

The industry cannot wait for regulation
Mandated digital documentation standards are likely coming. The case is strong and building. The installers and retailers who move first, building documentation rigour into their standard operating procedures now, will be better positioned when standards tighten and better trusted by the customers and maintenance providers who depend on their work.
Australia has built something genuinely impressive in its rooftop solar fleet. Keeping it safe, serviceable, and grid-ready over the next two decades starts at installation. The people completing and selling those installations need to treat the paper trail as part of the job.
